  1. Automated Texts/Emails to Patients that No-Show

    In a busy (or short-staffed) practice, it is difficult to stay on top of patients that no-show their appointments and it would be nice to have a way to set up an automated text/email to any patients that no-show requesting that they contact the office to reschedule. This seems fairly straight-forward to set up within the auto-reminders feature. Thank you! - Dr. Bates

  5. Only send reviews after certain exam types

    It would be very helpful if the auto review prompts could be set to only go out after certain exam types. We have turned Reviews off and are considering discontinuing it because it doesn't work for patients coming in for weekly therapy appointment or contact lens follow ups to be getting review requests after these appointments. Patients are getting annoyed when they get these review request texts every week after their appointments.

    We moved several Reviews settings to Auto-Messaging (Portal > Messages > Auto-Messaging) and with this change there are several options available to you now!

    • Flexible send time - send hours or days after the appointment start time at the interval of your choosing
    • Filter review requests based on appointment type, appointment status, practitioner, and more
    • Send a review request via email
    • Add customization to your templates like First Name and Practice Name

  6. Auto reply confirmation response

    I would love it if there were an "auto reply" function so that when patients actually confirm appts via text that they are told they confirmation has gone through. We have several patients that call after confirming because they worry that their confirmation wasn't received.

    This is now live for all customers! Just go to Portal > Messages > Auto-Messaging and click the blue New Auto-Message button in the upper right.

  7. Fax cover sheet - missing HIPAA notice

    Yikes - just realized the Fax Cover Sheet does not contain the federally-mandated HIPAA privacy language that all offices are required to have on any faxed document transmitting protected health information (PHI). This is a major liability and oversight on your part.

    We recently released functionality that saves the last fax memo entered by a user on a given instance of Weave. This way, you can add your own HIPAA disclaimer (or other memo) and have it persist for the next fax you send. We plan to improve this further in the future, so please share your ideas on how we can help streamline your workflow!

  8. One text/email for family appointments

    Lighthouse 360 allows the mother or father on appointments to receive only 1 text message reminding them of their children's/parent's appointments starting at what x time. So if there are 3 kids scheduled with a hygienist back to back every 30 minutes, the appointment reminder would say "Hello Sara, this is x dental office confirming Holly, Madison, and Chris's dental appointments starting at 9:00 am on September 9th, 2016. See you then."

    Our patients loved this feature with Lighthouse, but we love our Weave phones and texting. It would be nice to have this feature with your system however.

    We are currently beta testing Family Reminders.

    If multiple patients using the same phone number are attending on the same day they will get one reminder with all of the patients’ names and the time of the earliest appointment (additionally, there is an option to list all appointment times).

    When patients send a confirm response to one of these text messages all patient appointments in the message will be confirmed.

  9. Recognition of mobile numbers in any category

    I've been manually transferring all numbers to the mobile section because when creating a new patient file it defaults to the home number space. If Weave could recognize a mobile in any space that would make this transition much much more smooth! -Thanks Sam

    Earlier this year, we added the ability to send a manual text to any number listed for the patient. Last month, we added the ability to send an automated message to all numbers listed for the patient. With these two additions, it's much less important where the phone number is entered (home, mobile, other).

    We have been receiving a spam text from an odd number every day at the same time for awhile, and we would like to suggest giving us the ability to block a number. Or if it would be possible for your system to filter out spam, that would be wonderful

    A way to export a whole text conversation would be great! For our business, sometimes we need to provide these to the court, and having a simple way to compile and save a conversation would save SO much time and energy.

    We have now released Online Bill Pay, providing a flexible and convenient online payment portal that you can add to your website, paper statements, texts, and emails.  This new feature includes access points such as a QR code, a hyperlink, and even an embeddable button.

  14. Automatic recall notifications

    Automatic recall notifications. Send bulk messages to patients who are overdue every 3 months or so to remind them to schedule instead of us having to do each individually. You can add something like if you no longer wish to receive these messages, or if you are no longer a patient here, please let us know and we will remove you from this call list.

  15. Office Text Response Follow-Up Notification

    Hello! Our office would really benefit from a feature that would allow messages that have been "read" but not responded to, to be separated from the rest of the inbox. It can be difficult to differentiate/find messages that we have looked at and opened but were not able to respond to at the moment. Thanks!

    I need to have a way to process a card refund in my office instead of having to send an email. if a patient uses apple pay/ google pay it does not add the cardholder name. thank you

  17. Display/Text Preferred Name

    The patient's preferred name should show up in every aspect of Weave, not just the names the system texts them by. That way, when they call/leave a vm/ have a missed call the person answering the phone/returning the call will not accidentally call them by the wrong name.

  18. Enable Manual Texting for Home Number

    We like to put patient's cell phone numbers in the Home Phone field when they don't want to receive automated texts. We have always had the ability to send a "manual text" by typing in the phone number in Weave, however. Now that you changed it to give a "this is not a mobile phone " message, we are UNABLE to send any manual texts unless the phone number is in the home phone slot. A simple fix would be to have the message pop up, for a warning, but not actually disable you from sending. Please fix.

  19. Patient Communication Preferences

    As a long time, former Solution Reach client, the number 1 request we want is the ability to see our patients' communication preferences for text and email. We need to be able to disable either or since patients have already communicated to us their preference. This would be SUPER helpful.

    Also, allowing us to customize our Auto Reminder email content on our own (without having to call support) with the ability to send test emails to ourselves would be help.

  20. LInes in use

    The only downfall with Weave is that I can't see if anyone else is on the phone. Our old phones would have indicators for each desk so we knew if that person was busy. In a busy office we have 1 person in charge of phones and then back up. But now we don't know when she needs back up.

    If you are still interested in this feature, our “Presence” service can be configured to do this. You just need to give Weave a call to set it up.
