  1. Vacation voice mail recordings

    It would be nice to have a way to turn on our vacation voicemail message without calling in to Weave support to do that.

  2. Creating departments within Weave for text messaging

    We would like the ability to divide our office into departments within Weave:: scheduling, optical, and clinic. Right now, all text messages come into one inbox and it's really easy for the messages to get lost and go unread by the department for which they are intended. It would be great to create a username for each department, and then that username have access to only the text messages that they send/receive.
    If it's not possible to sort the messages by individual login, maybe having the ability to sort the messages in folders would be ideal?

    We handle two scenarios for inbox organization:

    1) Specific department / phone number - this categorizes any message tied to a given phone number in an easy-to-filter set of messages.

    2) Tags for message organization - this allows you to tag specific conversations and filter by tag. This is useful when you only have one texting number but still want to organize your inbox.

    Would it be possible for Weave to add appointments for patients to their own phone calendars-- maybe right after they confirm through Weave? Thanks!

  5. Saving text when answering call

    Hello! When you are in the middle of sending a text, and the phone rings, the text goes away and after the phone call you have to start all over. Working in a busy office, that tends to be a hassle when we are constantly receiving phone calls, and trying to send text messages out as well. A suggestion I have, is that we are able to text, and if a phone call does happen to come in at the same time, we should be able to text as well. It would help for us multi-taskers also :) thank you!

  6. Display/Text Preferred Name

    The patient's preferred name should show up in every aspect of Weave, not just the names the system texts them by. That way, when they call/leave a vm/ have a missed call the person answering the phone/returning the call will not accidentally call them by the wrong name.

  7. Inactive patients

    It can be irritating that Weave does not let you pull up inactive people in the patient list. When reactivating patients it would be helpful to be able to pull up inactive patients as well.

  8. Block texting for certain patients

    I have been looking for a way to block certain cell phone numbers in WEAVE without taking them out of our practice management system, AdvancedMD. Either it is not available in WEAVE or I am not finding it.

  9. More specific for reminders and recall

    I would like be able to filter patients provider and have the ability to send out appoitment reminders by provider. Also in recall we should be able to send recall out by provider also.

    We have recently added the ability to send out reminders by provider, appointment type, and operatory. When setting up a reminder you will now see Advanced Filters that can be added to the reminder.

    Draft functionality is live for Weave’s Email Marketing product. Thank you for your feedback! If you have any other suggestions for how we can improve our Email Marketing product, please feel free to email me.

    Also, we are currently testing out a prototype for Email Marketing filters. This feature will allow you to filter recipients by Insurance, Appointment type, Age (from a range), etc. If this is something you would be interested in testing out, please schedule a time on my calendar. We would LOVE t show you what we have.

  11. LInes in use

    The only downfall with Weave is that I can't see if anyone else is on the phone. Our old phones would have indicators for each desk so we knew if that person was busy. In a busy office we have 1 person in charge of phones and then back up. But now we don't know when she needs back up.

    If you are still interested in this feature, our “Presence” service can be configured to do this. You just need to give Weave a call to set it up.

  12. Emoji on texts

    When sending a text with my iPhone I can add balloons or cakes to the text. I would love to be able to add exploding balloons or emoji's to the reminder and birthday texts.

  14. Different auto-text appointment reminders for different types of appointments (new patients, contact lens follow-ups, pre-appoints)

    It would be very nice to be able to send different appointment reminder messages to different categories of appointments. For example, send a auto-reminder to contact lens follow-ups with a reminder to "please wear your contact lenses for your appointment". Another example, have a separate/different auto-text for appointments marked with the category as "pre-appoints" so we could say something specific for those people like "we see it is time for your annual eye exam and we have pre-appointed a tentative date and time for you".

    We have recently released some enhancements to our appointment reminders. You can now set them up to send to patients with a certain appointment type or who see a specific provider. This should allow you to provide pre appointment instructions as needed.

  18. Call Park Requests

    I would like to suggest a ring back option when a person is placed on hold. Many times we get busy and the person on hold gets overlooked. I really feel that would benefit our patients and our staff.

  19. Only send reviews after certain exam types

    It would be very helpful if the auto review prompts could be set to only go out after certain exam types. We have turned Reviews off and are considering discontinuing it because it doesn't work for patients coming in for weekly therapy appointment or contact lens follow ups to be getting review requests after these appointments. Patients are getting annoyed when they get these review request texts every week after their appointments.

    We moved several Reviews settings to Auto-Messaging (Portal > Messages > Auto-Messaging) and with this change there are several options available to you now!

    • Flexible send time - send hours or days after the appointment start time at the interval of your choosing
    • Filter review requests based on appointment type, appointment status, practitioner, and more
    • Send a review request via email
    • Add customization to your templates like First Name and Practice Name

  20. Pop-up Box Location

    Please make your system more user friendly by making the "Pop-up box" adjustable to "size" and "location" on your desk top. The upper Left corner of my computer would be a much better location for me. I always put the box to sleep by using DND because the Pop-up box is in a BAD location on my desk top. Thank you.
